Start Date: ASAP
Duration: 6 Months + Possible Extension
Rates: 150 Daily Rate via Umbrella / 115 Daily Rate via PAYE
Clearance: BPSS

We are looking for a Administrator to join our growing team where you will provide high quality support to an Offshore Wind Farm Project, ensuring our project has the necessary administration support to work as efficiently as possible.

You will carry out all aspects of administration duties, including assisting team members in tasks relating to scheduling regular meetings and record minutes/actions for key project meetings where required. You will work effectively and efficiently to help the project team with preparing documentation, assist with any planning needed and necessary scheduling to ensure these tasks are carried out smoothly.

  • You'll be a great team worker and possess excellent verbal and written communication skills with a keen eye for detail.
  • Having excellent organisational skills,
  • Experienced and confident with Microsoft Excel.
  • High set of Administrative Skills including all the Microsoft packages. A flair for picking up new IT systems and software would be advantageous.
  • Able to effectively manage and prioritise own workload.
  • Excellent time management skills; able to effectively plan own and others' time.
  • Strong written and verbal skills



Summary:

Join our client's dynamic team as an Administrator for an Offshore Wind Farm Project. You'll play a crucial role in supporting the project's smooth operation by handling administrative tasks and ensuring efficient communication among team members and stakeholders.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to project managers and team members, including scheduling meetings, managing calendars, and organising project documents.
  • Document Management: Maintain accurate records of project-related documents, contracts, permits, and correspondence, ensuring easy access for team members and compliance with regulatory requirements.
  • Communication: Facilitate effective communication among project stakeholders, including internal team members, contractors, suppliers, and regulatory authorities, through emails, phone calls, and meetings.
  • Data Entry and Reporting: Enter project data into relevant databases and generate reports as required by project managers and stakeholders, ensuring data accuracy and timeliness.
  • Procurement Assistance: Assist with procurement activities by obtaining quotes, processing purchase orders, and tracking deliveries to support the timely acquisition of project materials and services.
  • Logistics Coordination: Coordinate logistical arrangements for project activities, including travel arrangements, accommodations, and transportation for team members and visitors.
  • Health, Safety, and Environment (HSE) Compliance: Support HSE initiatives by maintaining records, scheduling training sessions, and assisting with the implementation of safety protocols to ensure a safe working environment for all project personnel.
  • Budget Tracking: Assist in monitoring project expenses by tracking costs, processing invoices, and reconciling financial records to support budget management and forecasting.
  • Stakeholder Relations: Build and maintain positive relationships with project stakeholders, addressing inquiries and concerns in a professional and timely manner to foster collaboration and project success.
  • Ad Hoc Tasks: Undertake additional tasks and projects as assigned by project managers to contribute to the overall success of the Offshore Wind Farm Project.



Qualifications:

  • Full UK Working Rights
  • Experience with Accounts processing / Financial Admin experience
  • Proven experience in administrative roles, preferably within the renewable energy or construction industry.
  • Strong organisational skills with the ability to multitask and prioritise workload effectively.
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
  • Knowledge of health, safety, and environmental regulations related to offshore wind farm projects is desirable.
  • Ability to work independently and collaboratively in a fast-paced environment.
