Role: Office & Operations Manager

Sector: Creative Agency

Reporting To : Finance Director

Location: Farringdon

Salary: GBP35,000 - GBP40,000

Permanent: Full time - 5 days in the office 9am -5.30pm

Office & Operations Manager Key Responsibilities:

General Office Management & Facilities

  • Working on initiatives and social events
  • Ensuring meeting rooms are set-up prior to client meetings, communal areas are kept clean and organised
  • Coordinate office events, meetings, and employee activities to foster a positive work environment
  • Manage the procurement of all office supplies, kitchen and equipment
  • Establish, negotiate and maintain all contracts for services and facilities for the studio.
  • Work closely with the Finance department to manage office budgets effectively
  • Ensure cost-effectiveness in all office-related expenditures - negotiating for the best price for all suppliers and requesting for POs from accounts for all house supplier costs

Health & Safety

  • Ensuring the Company is fully compliant with Health and Safety legislation
  • Organising risk assessments and actioning as appropriate
  • Fire Officer & First Aider - Organising drills and ensuring regular servicing and testing takes place for extinguishers, fire alarm system & emergency lights.

IT

  • Working closely with the external IT partner to ensure IT security and systems are up to date and run smoothly
  • Writing and maintaining up to date IT security policies in line with best practice and Company
  • standards
  • GDPR Officer, ensuring data protection standards are followed at all times by Company employees
  • Proactively resolve urgent tech issues that impact the delivery of client work and ensuring clear communication to the business throughout, until resolved.

Human Resources:

General responsibilities

  • Providing advice to employees on company benefits and entitlements, including the company pension scheme and health insurance
  • Learning and development- liaising with external training providers and keeping records of employee training plan (OPCO)
  • Ownership of keeping Bob, the company HR & engagement tool is up to date with accurate documents and Company personnel information
  • Addressing day-to-day HR queries, in line with all legal compliance requirements
  • Arranging small celebrations of work successes or anniversaries

Recruitment & Onboarding

  • First point of contact for all Recruiters
  • Owning the administrative side of all recruitment to include posting jobs and coordinating interviews with hiring managers, through Team Tailor platform
  • Preparing bespoke onboarding programs for all new starters
  • Conducting HR induction content in alignment with company guidelines
  • Supporting business leaders in onboarding new joiners

Office & Operations Manager Key Attributes Required:

  • Strong Microsoft Office skills (Word/Excel/PPT/Outlook)
  • Excellent written English
  • Accuracy and discretion
  • HR experience and knowledge essential
  • CIPD qualification preferred
  • Valid first aid qualification
  • Independent and proactive at managing workload, ability to plan multiple tasks and meet requests/deadlines as necessary
  • Proven experience in a similar role
  • Strong organisational and multitasking skills, be ready and willing to be hands-on and
  • ready to act on unexpected events
  • Excellent time keeping
  • Personable nature and good customer service and people skills
  • Sensitive to people and their needs
  • Being a positive and cheerful focus at the heart of the studio no matter what is happening
