Our local authority client based in South London are urgently seeking an experienced Housing Project Administrator.

20.08 an hour Umbrella

Minimum 2 days a week on site

Main Purpose of the job:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Temporary Accommodation Cost Reduction Project. In this role, you will provide critical support to the Project Manager, ensuring the project runs smoothly and efficiently. You will be responsible for a variety of administrative tasks, including data collection, spreadsheet management, high-volume mailings, and managing email communication.

Summary of Responsibilities and Personal Duties:

  1. Assist the Project Manager with data gathering for project initiatives.
  2. Compile and maintain accurate data in spreadsheets using software like Microsoft Excel.
  3. Generate and prepare high volumes of letters for project purposes (e.g., mail merges).
  4. Manage and distribute outgoing mail and packages.
  5. Create and manage email distribution lists and communications.
  6. Maintain a well-organized filing system for project documents (physical and digital).
  7. Schedule meetings and appointments for the Project Manager
  8. Answer phones and emails in a professional and courteous manner, directing inquiries as appropriate.
  9. Provide general administrative support as needed by the Project Manager and team.
  10. Preparing and sending out information to stakeholders, supporting the development of agendas, attending meetings to take minutes and updating project documents.

Experience

  • Managing the administrative processes of an office or team.
  • Working with a range of colleagues both within and outside the host organisation.
  • Working with data and other information, and experience of maintaining databases and accurate record keeping.
  • Experience of meeting tight deadlines and managing inputs from a range of contributors
  • Experience of Microsoft Office programmes
  • Experience of working with web pages/sites systems or willingness to learn
  • Experience of organising meetings, taking notes, preparing agendas and writing comprehensive minutes
