The Role

As a Project Support Administrator, you will support and undertake a range of specialist administrative duties to a large defence project. The role reports to the Project Manager.

This role will provide you with the opportunity to work within a well-established business and the exposure of working with our key stakeholders. This post requires you to have clerical/project support experience and to provide excellent support to project team members. In this role, you will have the ability to grow and develop your career further.

Role Responsibilities:

Not limited to

  • Assist with visitor booking, access to project areas and meet and greet.
  • Office administration for a team of approx. 60 people including meeting room management, seating plans, diary management, travel management, expenses, organising meetings etc
  • Support with procurement activities for office supplies and maintain stock levels.
  • Support the management team with onboarding of new personnel including IT requests and building access.
  • Management of the Security Aspects Letters for multiple projects and maintain a record of signatories.
  • Management of project Risk Assessments and maintain a record of signatories.
  • Production of Service Team Call Out Rotas and onward communication to Customers.
  • Production and submission of call out claims for Service Team.
  • Raising of Purchase orders
  • To take on the role as secretariat for the project, and support with project meetings including organisation of meetings, action tracking and meeting minute taking.
  • Assist with the accurate record keeping of project documentation.
  • Undertake the role of IT contact for hardware and software requests for the project.

What BAE Systems are looking for, from you:

Essential

  • Experience of administration within a large team (30+) of cross-functional employees
  • Experience of liaison and reporting to all management levels
  • IT literate and experienced across MS Office and major enterprise management systems (i.e. SAP, Workspace/SharePoint, BMS etc.) Proven organisational skills
  • Business Support/Admin national diploma or Btech - or relevant /equivalent experience
  • GCSE in English and Maths

Desirable

  • Experience of touch typing
  • Experience with minute taking
  • Experience working in engineering, manufacturing, or service companies

Security Requirements: SC

This role will require the person to hold full Security Clearance (SC) prior to working onsite. You will need to obtain a BPSS check as part of this process. You must currently hold or be eligible and willing to obtain SC and you must be eligible to work in the UK without sponsorship and have lived and worked in the UK for a minimum 5 year period. The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs).
