Position: Project Administrator
Location: Project-based
Overview
The Project Administrator will manage and oversee the day-to-day handling of design information during the Pre-Construction Services Agreement (PCSA) stage, ensuring efficient documentation and communication with all team members. Reporting on a project-specific basis will be to the assigned Divisional Director and Project/Senior Project Manager, with overall guidance from the Document Control Manager.
Responsibilities
- Support project teams by maintaining up-to-date information and creating/updating document registers.
- Set up document storage systems, both physical (e.g., site folders) and digital (e.g., Egnyte, Aconex).
- Administer user access on platforms such as Open Space and SnagR.
- Track and ensure timely responses for RFIs, technical submittals, and related documents.
- Foster positive relationships with clients, contractors, suppliers, and internal teams.
- Ensure compliance with project-specific standards for documentation distribution and quality assurance.
- Prepare and distribute daily/weekly reports and manage CVIs, CAIs, and site instructions as needed.
If the project team is based on-site during the PCSA stage, additional tasks may include ordering IT equipment, stationery, PPE, and supporting site setup.
General Company Duties
- Attend company and client events, promote company ethos, and uphold quality, environmental, and health & safety standards.
- Support internal initiatives, including development appraisals and quality compliance with ISO 9001, 14001, and 45001.
