Job description/responsibilities:

Project Managers are primarily responsible for providing guidance to project scoping, devising project plans, clarifying/assigning/routing individual tasks, assembling and disseminating critical project information, establishing and facilitating internal status and review meetings, assisting in the preparation of client and regulatory review materials, monitoring project health (scope, complexity, prioritization, timing, quality and costs) and making the necessary adjustments to tactics, team, and communication to right the course.

Project Managers are also expected to have a thorough understanding of the project’s requirements such that they can provide, at a moment’s notice, a meaningful and substantive account of the project’s needs, major decision points/pivots/rationale, illustrate historical context and comprehension of audience / end-users, connect important points of contact, enumerate milestones and offline drivers, and for all intents and purposes substitute for any missing voice on the team. All internal communications and project deliverables are circulated centrally through the Project Manager, they are responsible for all follow-up and follow-through needed to effectively and efficiently produce not just the project’s material deliverables, but it’s overall success.

Key Areas of Accountability & Responsibility:

  • Define project goals, scope, schedule, and budget
  • Successfully assemble debrief materials, kick-off projects, and operationalize requirements
  • Develop & maintain project plans including specific task assignments, dependencies between tasks, and dynamic start/end dates
  • Work with resourcing to identify, allocate, and manage resources across project assignments
  • Route project materials between departments
  • Determine and mitigate risk factors throughout the project lifecycle
  • Lead internal and external project teams to produce project deliverables against documented timelines
  • Manage individuals across a range of disciplines, including graphic designers, copywriters, interaction designers, and web programmers to evolve creative concepts to fully-programmed web destinations
  • Serve as the gateway between project teams and internal stakeholders translating requirements into actionable tasks, assigning and routing tasks to individuals, and managing deliverables against a project schedule
  • Keep projects on track through clear task lists, issue tracking, status reports, and meeting notes
  • Schedule and facilitate efficient meetings and conference calls with the ability to effectively setup the presentation of creative and technical work
  • Clearly communicate project issues and resolution to the client and internal team
  • Be passionate about delivering the best creative, but find ways of project managing it that does not jeopardize schedule and budget
  • Maintain & distribute detailed notes, explicit task assignments, meeting requests

Basic Qualifications:

  • Prior experience (3+ years) as a Project Manager or directly related experience with a comparable organisation (marketing, communications, creative agency)
  • Experience developing project plans using Smartsheet, MS Project, or equivalent
  • Experience managing branding, marketing, creative and internet technology projects; including social & mobile initiatives
  • Experience routing review materials and task assignments
  • Experience managing internal expectations on project scope and delivery
  • Excellent communication and organizational skills
  • Strong problem solving skills; responsive and flexible to evolving responsibilities and changing environment
  • Bachelor's degree or equivalent require
