Project Co-ordinator

To assist Project Managers in all aspects of delivering a quality, on time product with specific emphasis on:
 

  • Preparing take-offs for materials and hardware from working drawings
  • Assisting with procurement of materials and hardware, closely monitoring budgets
  • Coordinating timely distribution of correspondence and information to relevant internal departments


Key Responsibilities and Duties

1. Project Management

1.1   Prepare take-offs for materials and hardware from working drawings
1.2   Liaise with clients and Estimating Department in relation to job specific requirements
1.3   Liaise with clients and Listing Department in relation to queries on working drawings                                   
        and/or queries within specifications
1.4   Liaise with suppliers and Purchasing to ensure timely procurement and delivery of
        materials, hardware and subcontract items for projects
1.5   Assist with monitoring of delivery schedules and checkpoints for critical/long lead time
        items
1.6   Assist with monitoring and required changes of joinery installation schedules throughout
        the life of the projects
1.7   Ensure timely responses to customer enquiries
1.8   Ensure the Project Manager is informed of any potential project problems
1.9   Maintain the Job File, Variation, Drawing and Transmittal Registers
1.10 Maintain a polite and professional level of communication with both internal and external
 customers
      
2. Purchasing

2.1   Coordinate the processing of all project related Purchase Requisitions for materials,
             subcontract works, board and hardware
2.2   Monitor purchases against budget and immediately report any “over-budget items” to
        Project Manager
2.3   Coordinate material ordering schedules and checkpoints with Purchasing Department

3. Quality Assurance

     3.1   Ensure materials and subcontract items are ordered and delivered in accordance with
             Project specifications and nominated standards.

4. Systems and Processes

4.1   Participate in the review and ongoing development, improvement and implementation of
        Project Department systems and procedures
4.2   Participate in adopting and documenting best practice processes and procedures that
        Consistently service and satisfy the needs of our clients

5. General

5.1   Attend hand over meetings as required
5.2   Attend weekly production meetings for assigned projects
5.3   Comply with all company and site WHS rules and regulations
5.4   Full compliance, without exception, to company policies and procedures
5.5   Prepare reports as requested in relation to your job responsibilities
5.6   Assume other responsibilities as directed, from time to time, by the Project Manager
        or management

  • Cabinet Making background
  • Exceptional planning, organizational and communication skills
  • Work well within a team environment
  • Strong and clear verbal and written communication skills
  • Basic computer skills and understanding of MS Office
  • Demonstrate ability to use discretion and judgement within the range of their skills and knowledge
  • Knowledge of construction industry compliance requirements
  • Ability to plan and organize work priorities within the department
  • Attention to detail
